PCD UUMA Preamble and
Statement of Purpose
When we
gather in chapter meeting we become:
(adopted 9/06)
Covenant:
(adopted
5/00)
PCD UUMA By-Laws
Adopted 5 October 2000
by unanimous vote of the Chapter
Membership:
Membership in
the Pacific Central District chapter of the Unitarian Universalist Ministers’
Association is open to members of the continental UUMA residing in PCD.
PCD/UUMA members are fellowshipped religious leaders who are settled, retired,
or in a specialized or community ministry; and those in candidate status with
the UUA who have begun or completed an internship. Membership requirements
include payment of annual dues and agreement to the covenant and statement of
purpose incorporated in these bylaws. Retired clergy who have been UUMA members
continue as lifetime members. [Any current, active chapter members who may not
meet these conditions at the time of adoption of these bylaws, retain their
membership status.]
Termination of
Membership:
Membership in
PCD/UUMA shall be terminated by request, or by an apparent lack of interest
after appropriate personal contact has been made and there is one year of
inactivity with the group. The chapter may vote to deny membership to, or to
remove from membership, a colleague who has violated our professional code of
ethics.
Meetings:
The group
shall gather in retreat format at least two times a year. Business meeting will
be held at the Fall and Spring Retreats. (10/02)
Dues:
Upon
recommendation of the Executive Committee, yearly dues are to be established by
an annual vote of the membership at the spring business meeting. They are
payable by 1 October of each year. Dues reduction due to financial hardship are
at the discretion of the president. (10/02)
Leadership:
At the
business meeting at the fall retreat, the membership shall elect a nominating
committee of at least 3 people. The nominating committee, guided by the
rotation schedule attached to the by-laws, will present a slate of officers and
suggestions for other responsibilities to the PCD / UUMA members at the
business meeting during the spring retreat.
Voting:
A quorum
shall be 1 / 2 the number of dues-paying members of the chapter, in a business
meeting called with 30 days’ notice. At the discretion of the executive
committee, electronic voting may be used for a straw poll to determine the
sense of the chapter.
Roles and
Responsibilities:
Nominating Committee
The
Nominating Committee shall be made up of at least three members. Their role is
to nominate officers and present the slate to the membership.
Terms:
The officers
and the nominating committee shall serve for terms of two years. Two or more
good offices persons shall serve for a term of 3 years with staggered terms.
(10/02)
Other Positions:
The
membership shall join the PCD board and the UUA Department of Ministry in
appointing ministerial representatives.
Parliamentary
Authority
The rules
contained in the current edition of Robert’s Rules of Order shall govern this
chapter in all cases to which they are applicable and in which they are not
inconsistent with these By-laws and any special rules of order the chapter may
adopt.
Amendments:
These by-laws
may be amended by the affirmative vote of two-thirds of the eligible voting
members present and voting at any duly called meeting of the chapter, provided that
a statement of such proposed amendment or amendments has been included in the
call of the meeting.
APPENDIX TO THE BYLAWS
Re:
Creation of Policy
Policies of
the chapter may be established by a majority of those voting, in attendance at
a meeting. (adopted 5/00)
Re: Membership
Members
pledge to respect the variety of ministries in which they serve. Chapter
leadership endeavors to structure events to make them accessible from the
varying perspectives of cost, geographic location, event design, special need,
days of the week, and length of event. Members commit to make participation in
chapter activities a high priority in their professional lives.
Guests are
welcome at chapter events (other than check-ins) by invitation of, or previous
arrangement with, the chapter president.
In the spirit
of shared leadership, members agree to be willing to serve in leadership and
support positions.
Members agree
to hold in confidence within our meeting all personal and professional matters.
Members
recognize that they are both supported and bound by the UUMA Guidelines in the
practice of their ministries.
Membership in
the chapter requires agreement with these policies and participation in our
collegial covenant. (adopted 5/00)
Re:
Scholarships for Visiting Transylvanian Scholars
Full
scholarship for up to two retreats per year will be offered to the visiting
Transylvanian scholar at Starr King School. (adopted 5/00).
Re:
Alcohol
Alcohol at
chapter events shall be provided voluntarily by members, along with
non-alcoholic beverages. No alcohol shall be served immediately before
departure for travel. (adopted August 1998)
Re:
Visiting Ministers
Visiting
ministers at Starr King School for the Ministry and Pacific School of Religion
who are members of the continental UUMA are invited to become complementary
members of the PCD/UUMA for the duration of their tenure at PSR or SKSM.
Complementary members participate in the chapter covenant and are invited to
register for chapter retreats during their tenure. Complementary members are
not eligible to vote on chapter business. (5/02)
Re:
Scholarships
A ten dollar
fee will be added to each retreat registration fee to build a stable
Scholarship Fund. Before registration forms are mailed, the retreat registrar,
treasurer and president will confer to establish the number and amount of
available scholarships. The average scholarship range will be between $50 -
$75; extraordinary exceptions will be considered. (10/01)
Re:
Children at Retreats
Chapter member's
infants (children who are not yet walking) are welcome to attend retreats with
their parent/s. Scholarship funds are available for registration fees to allow
other funds to pay for childcare while on UUMA retreats. An on-site baby
monitor allows parents of children to attend from another room in adult-only
events. On-site child care providers are hoped for but experience in organizing
child care for this retreat proved that it is not a sure-thing. A Childcare
Coordinator will be appointed yearly to focus on assisting parents, finding and
hiring child care providers if possible and necessary and arranging for the
intercom-monitor system. (10/02)
Re:
Retreat Registration Refunds:
The chapter
shall not grant refunds for any reason if the registration is cancelled after
the registration deadline. (5/03)
Re:
PCD Staff Presence on Executive Committee:
Members of
the PCD staff shall not serve on the Chapter's Executive Committee. (5/03)
Re:
PCD Staff Presence at Retreats:
The lay
District Executive shall be invited annually to part of the Fall or Spring UUMA
retreat at the discretion of the Executive Committee. (5/03)

Good Offices
The Good Offices
persons for the chapter serve as a 'minister to minister,' aiding colleagues
who have personal or professional problems and, when appropriate, acting as a
mediator or advocate for colleagues who ask for their help. The Good Offices
persons also remind colleagues of the meaning of the UUMA Code of Professional
Practice and will counsel with those who others say are behaving in ways that
are in violation of the Code. In whatever they do the Good Offices persons will
bear in mind the well-being of both the colleagues who ask for their help and
the ministry itself.
